Everybody has the same 24 in their day. Those hours can either be wasted or spent being productive and working on your goals, dreams, and important tasks. It is therefore important to learn tips and tricks on how you can improve your productivity on a daily basis.
Write It Down
a to-do list is an imperative step to improve your productivity. They get you organized, and allow you to see where your focus should go every day. T0-do list also may give you a sense of accomplishment when you mark something off your list.
You should create a to-do list every night so that you have a clear mind, and a clear image of what the following day needs to be done. By doing this you won’t spend time in the morning trying to decide what tasks need to be done first.
Cut Down Your To-Do List
When writing a to-do list you will be tempted to add a lot of items that are not really necessary or important. To keep from adding these things you really need to take another look at it.
A very long to do list is recipe for early morning anxiety, or for guilt in the evening when very few things are checked off. To prevent those situations pick up to three important time consuming task that need to be done before the next day. You can then fill in you to-do’s with 3-5 less time consuming task.
I know being able to multitask can feel like a skill that you must master and accomplish to get ahead. The truth is though that multitasking is a productivity killer.
Multitasking causes your brain to switch very fast from one task to another, and this can result in an up to 40% decrease in your productivity. Studies show it also can lower your IQ!
So stop multitasking and only focus on one task at a time to be able to give that task 100%.
In order to be able to only focus on one task at a time you HAVE TO minimize distractions.
Turn off your digital notifications, stop checking Facebook or Instagram every 20 minutes, turn off the TV, and put your phone on do not disturb while accomplishing your important tasks. You will be amazed how much work you can get done, and how quickly when you are fully focused on the task at hand.
Organize Your Working Space
When everything is in place and your work-space is organized it’s much easier to focus on the task at hand. An organized work-space won;t have you distracted by searing for a pen, or wondering when you will have time to fold that pile of sheets, or load the dishwasher.
There is a reason a lot of people invest a lot of money in their work-space, and that spending in this category goes up every year. Having a nice, organized, and well working space can help you focus, speed up how fast you work, and help you with your creative thinking.
Track and Limit Your Time Spent On Task
In order to optimize the time you spend on a task it’s very important to track and evaluate your work. Do you spend to much time reading similar articles when doing research, or maybe you o on Facebook every 15 minutes when you feel like taking a break ( and end up spending a while half an hour scrolling through your news feed).
You can not know how to improve the time you are spending on things unless you keep an eye on it.
Do not be afraid to use every app, add on, and gadget necessary to take your productivity to the next level.
Technology can help you track the amount of time spent on each task, create schedules, set up reminders and work related notifications.
Instead of writing that to-do list on a piece of paper that is easy to misplace put it on your phone, or desktop. Technology like this will help you have your most important task and schedules at the tip of your fingers.
Set Smart Goals
the smart acronym stands for
t- time bound
What this means is when setting up a goal you have to define ir specifically, set a way to measure the progress on it, make sure it is realistic and attainable, and set a deadline to it so it doesn’t get finished “someday”.
Choose Your Friends Wisely
Surround yourself with people who have the same mindset and ambitions as you do, and try working besides them. This way you can motivate each other, rainstorm ideas, and discuss relevant topics that will help to expand your knowledge and make you strive harder.
This is a very important step to follow because you do not want to surround yourself with people who will drag you down.
Don’t Be Afraid to Delegate
You cannot do everything yourself, you cannot do everything yourself, you cannot do everything yourself.
It can be so easy sometimes to want to do everything, and control every situation. The reality is though that by not delegating task you are over crowing your schedule, and not giving yourself time to complete your important tasks, and actually do the things only you can really well.
You cannot always say yes to everything and everyone ( just to please everyone else, and take care of their needs), and still finish your own projects on time. You need to be able saying no to people asking for help because they interfere with your life, and happiness.
Now this does not mean you should never help anyone, but you need to make sure you do so after you have finished your own task. Take your schedule and time into your own hands by not always letting others dictate what you are meant to do, and the importance of every task.
Focus on Result Oriented Activities
Many of the activities that we do throughout the day are not urgent ones. They also usually do not have a visual impact on our lives ( like scrolling through Pinterest for hours).
80% of your results will come from 20% of your actions. What that means is that you must find the 20% and get your main focus on those!
Be Proactive no Reactive
This is really important, and basically sums up every principle of productivity. What this means is do not let the little things ( like emails, and phone calls) clutter up your day. Instead you need to make a plan for things, and even schedule in time to deal with the unexpected.
Get involved in your schedule, and do not let others do it for you.
Take Care of Yourself
Most people think productivity is just about scheduling, sticking to a to-do list, or slogging through task. However there is more to it than that. You must invest in all aspects in your life in order to be meaningfully productive.
By taking care of yourself you will become more energized, and motivated to work towards your goals.
Being productive also means living a balanced life. Being happy, healthy, and able to accomplish your goals and dreams all starts with doing your most important tasks, focusing on the things that matter, and ultimately being productive.
